Settings reference
This page explains the main settings inside TracsConnect in non-technical language.
Most settings follow TRACS when a matching TRACS value exists. If TracsConnect shows an override option, changing it affects TracsConnect only. It does not rewrite the original TRACS setting.
Server & Agents
Section titled “Server & Agents”Use Settings → Server & Agents to manage the local connection between TRACS and TracsConnect.
| Setting | What it does | How it works |
|---|---|---|
| Server Agent installer | Downloads the installer for the shop server side of TracsConnect. | The Server Agent connects TRACS data to TracsConnect. If it is not installed or not connected, cloud features may not have current TRACS information. |
| Client Agent installer | Downloads the installer for individual shop workstations. | The Client Agent supports features that depend on the active workstation or signed-in TRACS user. |
| Tenant ID | Identifies your TracsConnect account. | Copy this value and enter it when you run the agent installer. It tells the agent which account to connect to. |
| Agent status | Shows whether the local agents are connected. | Use this when troubleshooting stale data, offline workstation behavior, or setup problems. |
Shop Settings
Section titled “Shop Settings”Use Settings → Shop Settings for shop-level defaults.
| Setting | What it does | How it works |
|---|---|---|
| Shop Timezones | Controls report dates and “today” calculations for each shop. | TracsConnect can suggest the time zone from the shop address, but you can set it directly for any shop. |
| Torque Spec Auto-Seeding | Adds torque spec notes for tire work. | When enabled, TracsConnect appends lug nut torque information to vehicle notes when a vehicle is assigned to a work order in TRACS. |
Branding
Section titled “Branding”Use Settings → Branding for customer-facing identity.
| Setting | What it does | How it works |
|---|---|---|
| Company Name | Controls the public shop name TracsConnect shows. | Use the TRACS value when it is correct. Override it when customers should see a different name. |
| Logo | Controls the logo shown on customer-facing pages and documents. | Sync from TRACS or upload a custom TracsConnect logo. A custom logo wins over the synced TRACS logo. |
| Contact Info | Controls public phone, address, and related shop details. | Fields can inherit from TRACS or be overridden one at a time. |
Printing
Section titled “Printing”Use Settings → Printing for customer document previews and PDFs.
| Setting | What it does | How it works |
|---|---|---|
| Override TRACS Print Settings | Chooses whether TracsConnect follows TRACS print choices or its own print choices. | Off means TracsConnect follows TRACS per-work-order settings. On means TracsConnect uses the settings on this page for cloud-generated previews and PDFs. |
| Set Disclaimer Font Size | Controls how large disclaimer text appears. | Turn on the option first, then choose the size. |
| Lines to skip for letterhead | Adds blank space at the top of printed documents. | Use this when preprinted letterhead needs extra room. |
| Print Work Order # Bar Codes | Shows work order bar codes on documents. | Turn this on when staff or customers need bar codes on generated documents. |
| Include subtotals on printouts | Shows subtotal lines on documents. | Use this to make parts, labor, and other totals easier to read. |
| Include payments and balance due | Shows payment and remaining balance information. | Turn this on when customer-facing invoices should show what has been paid and what is still owed. |
| Document-specific options | Controls estimate, repair order, and invoice behavior separately. | Use these settings when one document type should show details that another document type should hide. |
SMS / Messaging
Section titled “SMS / Messaging”Use Settings → SMS / Messaging for TracsConnect message behavior.
| Tab | What it does | How it works |
|---|---|---|
| Setup & Numbers | Controls SMS proxy behavior and which phone numbers are assigned to which shop. | SMS proxy routes TRACS texting through TracsConnect. Phone number assignments tell TracsConnect which number belongs to which shop. |
| Recipients | Controls who receives configured message reports. | Add the people who should receive report messages. |
| Reports | Controls message report content and tests. | Preview and test before sending reports in daily use. |
Scheduling
Section titled “Scheduling”Use Scheduling to configure online booking. For the full setup path, see Scheduling.
| Setting | What it does | How it works |
|---|---|---|
| Enabled / Disabled | Turns online scheduling on or off. | TracsConnect prevents activation until required setup items, such as shop time zone, are ready. |
| Timezone and Hours | Controls when customers can book. | Scheduling uses your shop time zone, business hours, and public booking windows. |
| Capacity | Controls how many appointments can be accepted. | Use capacity to avoid letting the portal overbook the shop. |
| Service Types | Controls what customers can choose online. | Create bookable services that match the work your shop accepts through online booking. |
| Lead Time | Controls how soon a customer can book. | Use lead time to prevent appointments that are too close to the current time. |
| Booking Horizon | Controls how far into the future customers can book. | Use this so the calendar does not accept appointments farther out than your shop wants to manage. |
| Required Customer and Vehicle Details | Controls what information customers must provide. | Require the details your advisors need before accepting an appointment. |
| Blackout Dates and Holidays | Blocks dates that should not accept online booking. | Use this for closures, holidays, and special shop events. |
| Notifications | Controls scheduling confirmation messages. | These messages help customers know their request was received or confirmed. |
Security
Section titled “Security”Use Settings → Security for employee account behavior.
| Setting | What it does | How it works |
|---|---|---|
| Manual Link Only | Keeps account creation under direct owner control. | Owners invite and link users manually. TRACS employees are not automatically created as TracsConnect users. |
| Auto-Provision from TRACS | Creates supported TracsConnect users from TRACS employee records. | TracsConnect uses TRACS employee information when the record has the information needed for a password-backed account. |
Permissions
Section titled “Permissions”Use Settings → Permissions to control access.
| Setting | What it does | How it works |
|---|---|---|
| Page access | Controls which dashboard areas a user can open. | Use this to hide pages such as billing, settings, reports, or users from staff who do not need them. |
| Action access | Controls what a user can do after opening a page. | Use this to separate view-only access from actions such as editing, deleting, or managing settings. |
| Shop access | Controls which shops a user can work with. | Multi-shop accounts can limit staff to all shops or only selected shops. |
Costing Configuration
Section titled “Costing Configuration”Use Costing Configuration when you want TracsConnect profitability and efficiency reporting to use shop-specific cost assumptions.
| Setting | What it does | How it works |
|---|---|---|
| Technicians | Stores pay type, skill level, rate, and benefit assumptions. | Sync technicians from TRACS, then fill in costing details for reporting. |
| Rate Defaults | Sets fallback labor cost rates. | Defaults are used when a technician does not have a custom rate. |
| Efficiency Settings | Chooses how efficiency is calculated. | This controls the window and grouping TracsConnect uses in efficiency reporting. |
| Operational Costs | Adds monthly shop expenses. | TracsConnect uses these costs to estimate facility cost per billed hour. |
Integrations are separate
Section titled “Integrations are separate”Integration pages are for outside systems. Use them when you need to connect or configure tools such as phone providers, scheduling providers, accounting systems, or messaging vendors.
TracsConnect settings decide how TracsConnect behaves. Integration settings decide how TracsConnect signs in to another company or service.
