When an employee leaves

Do this the same day the person walks out the door. Their TracsConnect account still has access to customer phone numbers, vehicle records, work-order history, and (for higher-role accounts) settings that affect the whole shop. Waiting until the next billing or payroll cycle is too long.

  1. Open Admin > Users.
  2. Find the person who’s leaving.
  3. Remove their TracsConnect account, or restrict it according to your shop’s offboarding policy.
  4. Review their shop access — if they were in a multi-shop tenant, make sure no shop accidentally inherited them as the new contact.
  5. Check the Permission Audit if they were a Manager or Admin — anyone whose permissions they changed should get a quick review.
  6. Update any place that referenced their email or phone: texting templates, automations, integration credentials, report recipients, the daily-flash email, on-call lists.
  7. Update their TRACS employee record the way your shop normally does — this keeps the dashboard and TRACS in sync.

A former employee’s dashboard login keeps working until you remove it. That means they can still see customer contact info, vehicle history, and anything else their role gave them access to. For Owners and Admins, it also means they could change billing or invite new users. Removing access the same day shuts that down before anything goes wrong.
