Change a user's role
Change someone’s role when their job changes — they got promoted, they moved between shops, or they’ve stopped doing something they used to do.
How to change the role
Section titled “How to change the role”- Open Admin > Users.
- Click the person’s name to open their account.
- Click Edit.
- Pick the new role from the dropdown.
- Save.
- Open the person’s permissions page to make sure any custom permissions still make sense for the new role.
What changes when you change the role
Section titled “What changes when you change the role”The role swaps out the underlying permission preset. So when you bump a Service Advisor up to Manager, they suddenly get Approve work orders, View profit margins, and Calendar management by default. But: any custom permissions you flipped on or off for them previously stay flipped. That’s why step 6 above matters — review their permissions after a role change.
Good moments to update someone’s role
Section titled “Good moments to update someone’s role”- A technician moves up to the service counter → Technician to Service Advisor.
- A service advisor takes on lead responsibilities → Service Advisor to Manager.
- Someone leaves a manager position → Manager back down to Service Advisor.
- Someone shouldn’t have reports, billing, users, or settings access anymore → bump the role down.
