Drop-Off

The Drop-Off Wizard is the web page customers open when they’re standing at your front door (or your after-hours drop box) and want to leave their vehicle. They reach it from a QR code on your drop box, a text link, or by typing your shop’s web address. The wizard walks them through nine short steps and then submits the drop-off, which creates a work order in TRACS for your team to pick up in the morning.

  • Captures after-hours and walk-in drop-offs without anyone at the counter
  • Cuts down on hand-written drop-box envelopes and missed paperwork
  • Records the customer’s authorization, signature, and pre-authorized amount up front
  • Adds the work order to TRACS automatically, at the stage you choose
  • Find an existing appointment by name or phone, or check in as a walk-in
  • Confirm their contact information and vehicle, or add a new vehicle
  • Pick from a short list of common services your shop offers
  • Authorize a pre-auth amount and sign electronically
  • Upload registration, insurance, or warranty documents if you enable that feature
  • Final work order details, line items, pricing, and approvals
  • Customer and vehicle records (the wizard reads them; new entries are created in TRACS)
  • Stage transitions after drop-off (move from drop-off stage to in-progress, etc.)
  • Anything that needs your shop’s labor matrix, parts markup, or internal notes
  • A TracsConnect dashboard account with permission to open Setup → TracsConnect Drop-off
  • Your shop code set in the dashboard
  • Your TRACS shop active and connected
  • A TRACS Flow stage you want new drop-offs to land in (commonly Scheduled or Drop-off)
  1. Settings — pick the default stage, configure document uploads, map your common services to TRACS labor items, and set service reminders.
  2. Themes — brand the wizard with your logo, colors, and welcome message.
  3. QR Codes — generate QR codes for the drop box, the front door, and the after-hours sign.
