Hours, capacity, and policies

Hours, capacity, and policies work together. Hours decide when bookings can land. Capacity decides how many can land at once. Policies decide how close to now and how far out customers can book.

The Business Hours section in Scheduling is read-only. It shows the operating hours TracsConnect has on file for your shop.

To change business hours:

  1. Open Calendar → Shop Hours.
  2. Update the hours.
  3. Come back to Scheduling to confirm the change shows up.

Public booking windows are the time ranges you open for online booking each day. They do not have to match your full operating hours — most shops make them a bit narrower to leave room for opening tasks, lunch coverage, and end-of-day wrap-up.

  1. Open Foundation.
  2. Find Public Booking Windows.
  3. Click Add window for each day you want to accept online bookings.
  4. Enter a start time and end time.
  5. Repeat for each bookable day.
  6. Save the change.

Leave a day empty when customers should not be able to book online that day.

Slot Interval sets how often booking times appear to customers — in other words, how long each booking slot is.

Your options are 15, 20, 30, or 60 minutes.

Use shorter slots when advisors can handle more precise arrivals. Use longer slots when you want a simpler schedule with fewer choices.

Capacity fields let you set the maximum number of online bookings that fit in your schedule.

Leave any limit blank when you do not want to cap that particular type.

Minimum Lead Time sets how far ahead a customer has to book. The default is 120 minutes (2 hours).

  1. Open Policies.
  2. Enter the minimum number of minutes.
  3. Save the change.

Set it higher if advisors need time to prepare parts, review the request, or plan the day. Set it to 0 only if you are comfortable with last-minute bookings coming through immediately.

Booking Horizon sets how far into the future customers can book. The default is 30 days, and the allowed range is 1 to 365 days.

  1. Open Policies.
  2. Enter the number of days.
  3. Save the change.

Same-day booking has three choices:

These rules control who can book without advisor review and what vehicles your shop will accept online.

Before you activate, check:

  • Whether new customers may book automatically
  • Whether existing customers may book automatically
  • Whether VIP customers always auto-confirm
  • Whether fleet customers always need approval
  • Which customer fields are required at booking
  • Which vehicle fields are required at booking
  • Supported vehicle types (passenger, commercial, etc.)
  • Whether you accept EVs, diesel vehicles, heavy-duty trucks, and motorcycles
  • Any year restrictions (minimum model year, maximum model year, or maximum vehicle age)

Set these to match what your shop can actually take on — if you do not service motorcycles, turn that off and customers with motorcycles will not be able to book online.
