Customer and vehicle records
Customer and vehicle records let you answer practical questions at the counter without switching between tools.
Customer records
Section titled “Customer records”Open a customer record to see contact details, linked vehicles, statistics (customer since, total visits, lifetime revenue, average ticket), notes, and communication history when those features are turned on.
Check the customer record before discussing service history, approvals, invoices, or messages — especially if the customer has more than one vehicle or multiple people share the account.
Vehicle records
Section titled “Vehicle records”A vehicle record shows the year, make, model, license plate, VIN, and mileage. From there you can tab through service history, outstanding recommendations, vehicle notes, and uploaded documents.
Use the vehicle tab when a customer asks about past repairs, a previously recommended service, or which of their vehicles a repair order belongs to.
Why records may look incomplete
Section titled “Why records may look incomplete”- The customer has duplicate records in TRACS.
- A vehicle was entered under a different customer name.
- A work order is still open or has not been invoiced.
- Your role does not have access to every section of the record.
- A local connection is offline and recent TRACS changes have not synced yet.
