Settings

The Settings tab controls what happens when a customer finishes the Drop-Off Wizard — which TRACS stage the new work order lands in, which features show up in the wizard, and how your common services map to TRACS labor items.

  • Your shop code is set in the dashboard
  • Your TRACS shop is active and connected
  • You know which TRACS Flow stage new drop-offs should land in
  • You know which TRACS labor items match your most-requested services (oil change, brake check, tire rotation, etc.)
In TracsConnect

Sign in to your dashboard, open Setup in the sidebar, then click TracsConnect Drop-off. The page opens on the Settings tab by default.

This is the most important setting. When a customer finishes the wizard, the new TRACS work order is set to this stage so your team knows it came from a drop-off.

  1. Scroll to the Default Work Order Stage card.
  2. The dropdown lists every active stage in your TRACS Flow configuration. Pick the one your team uses for new drop-offs — common choices are Scheduled, Drop-off, or Inspection.
  3. Leave it on No stage (use TRACS default) if you want the work order to use whatever TRACS would normally assign.

If the dropdown is empty, TracsConnect couldn’t reach your TRACS Flow stages. You’ll see a fallback list of common names (Scheduled, Inspection, Diagnosing, etc.) — the saved value still works, but you should check your TRACS connection.

Drop-Off Wizard customers pick from a short list of common services — oil change, brake check, tire rotation, and so on. You decide which TRACS labor item each service maps to so the wizard can build the line items on the new work order automatically.

  1. Find the Common services → Labor items card.
  2. Click Configure. The Dropoff Add-On Services → TRACS Labor Items modal opens.
  3. For each add-on service, click Link Item and choose the matching TRACS labor or job item. Customers who pick that service will have that exact line item added to their work order.
  4. Use Link Note to also attach an internal note item — handy for things like “Customer requests OEM-spec oil — verify vehicle requirements”.
  5. Toggle Active off to hide a service from the wizard without losing the mapping.

The wizard can flag services that are due — like “Your last oil change was 6,200 miles ago” — based on your vehicle’s service history in TRACS.

  1. Expand the Service Reminders card.
  2. Add a configuration for each service you want to track (oil change, tire rotation, brake check, etc.).
  3. For each one, pick the TRACS ItemCodes that represent that service. The wizard searches the vehicle’s history for those codes to figure out the last service date and mileage.
  4. Set an interval — every X miles, every Y days, or both — and the wizard recommends the service when either threshold is passed.
  5. Use Always Recommend for services that should suggest no matter the history (useful when a vehicle has no prior records at your shop).

Each of these is a toggle in the Settings tab.

Scheduled drop-off uses the services and availability rules from Scheduling.

  1. Open Scheduling.
  2. Add or select the service customers should schedule.
  3. Turn on Enabled for online booking.
  4. Turn on Drop-off allowed.
  5. Run an availability preview before turning scheduling on.

Settings save automatically about a second after you stop editing. The wizard picks up changes the next time a customer opens or refreshes the page.
